Document Repository for Intranet

Kim Driggers asked on April 6, 2016 15:36

I am new to Kentico (v8.2) and have no .Net experience. I have been given the task to create a document repository for our intranet. The documents will be stored in the content tree within several folders for each of our departments. A page would need to be created to display the search and render results with links to the document(s). Check in/Check out need to be enabled. One the page the documents would be have several predefined filters grouped by purpose that the user could select from.

There is no out of the box solution.

Hello Kim! A few questions for you:

  • Any particular reason or need to store the documents in the content tree?
  • Have you looked into the Media Library? Only downside is it doesn't give you the check in/out functionality.
  • Are you looking for a SharePoint type of repository where users can check the document out, edit it and check it back in? If so, have you looked into the Document Library (only available with Ultimate and EMS licenses)?

We would like it in the content tree to be searchable. We also have 26 departments that will be editing these documents and will have varying degrees of permission levels. I looked at the Document Library and according to the documentation it would not work with folders.

When you say it won't work with folders, are you talking about physical folders in the servers file system or page type folders?

What I've done in the past is create a custom page type which have the properties you want display and be searchable and then use a file or document attachment field. This method will allow you to set permissions, check in/out, workflow and search without needing any custom code.

Email me, I'd be happy to share what I did to accomplish this.

Yes. Physical folders on the servers. I will email you.
