What is the purpose of the Archive step in a workflow?

Kurt Muller asked on June 4, 2019 12:14

Hey guys

I'm back creating workflows and I still don't quite understand the purpose of the Archive step. I want my final step to be either published or synced, but I cannot create a workflow without the archive step. So where does this end up sitting? Where do I place it in my workflow if it's a must to have? Ideally I want the content guys to see the green (published) tick next to pages.

The archive step is used when you want to hide (unpublish) the page from live site but still keep it for some reason in the content tree. E.g. content archiving. This step should be at the end of the workflow. Usually, the step before Archive is the Publish step. So the page is in published state - available on the live site, before it gets published. In many cases this step is not used, but it is one of the mandatory workflow steps to ensure correct workflow cycle - Edit, Published, Archived are the mandatory workflow steps.

The archiving support allows you to archive a page. Such a page is no longer displayed on the website, but it's kept in the content tree and can be re-published at any time later.

It's not required to move a page to the archive step. It's just an optional next step.. same as going back to edit mode.

Thanks guys. What kind of workflow should I use then if don't want to ever archive the page.

The scenario is that I have a content team that continues to update pages on a week/monthly basis and will have to go through a publishing approval process for every change they make.

Hope I'm making sense

Well, the three steps I mentioned previously are mandatory. They have to be present and what is between them is up to you - whether you want to add some more approval steps or in case of advanced workflow some other logic. You do not have to push the pages to Archive step, you will just edit them again to start a new workflow cycle.
