Sending email notifications during advanced workflows

Hi,

I have an advanced workflow with 3 steps before publishing the change. The workflow has 2 approval steps (Edit -> Approve 1 -> Approve 2 -> Publish.

I set the workflow up to only allow certain roles to approve the changes and send notification emails that the change is waiting for approval. However everyone in the workflow is getting the waiting for approval emails even if they are in the role that cannot approve changes. Is there a way to send an notification email to only the people in the roles who can approve the steps?

Hi,

Please check the permissions for the Content module for your roles, especially the Manage workflow permission: screen shot
This permissions is like workflow admin - this means users in the role with this permission can manage all the workflows, all the steps and are receiving all the notification emails.

Thanks for the response. My roles who have the manage workflow permission are able to receive the emails. However, is it possible to send emails to only certain roles when a certain step is reached and not everyone who has the manage workflow permission?

Hi Brendan,

In the advanced workflow you can use also the Email step - it is automatic step and you are able to configure to whom a message should be sent: http://screencast.com/t/N1HxCZgy8

Hi Juraj,

Thanks for the respone as that is good information for sending emails to individuals.

I figured out what I was looking for, for anyone who may have a similar problem. Under the security tab in a standard step, there is a option for "Roles that can approve, reject, and make changes." You can select Only Listed and select your user role to that step. After adding the role this way, only the people under that role that you selected will receive a notification email.
