Proper Method to Un-publish a Document
What is the proper method to quickly make a document unpublished?

I typically use the "Publish from" field to make a document not show so that others can check it out and work on editing it before it is ready to publish.

However, that date passed and the doc went live. Changing the "Publish from" date does not remove it. I think what is happening is that a new version (it is under version control) is created and this will be published on the new date. The old version remains published.

Please let me know if there is a master publish button that I can use or the proper method to remove this version?

I tried the delete document method but put it in the recycle bin, but that seems a bit overkill. I want the document to remain the content tree, but just in an un-published stated.

I thought about the "reject" button but that just sends the new version back one step in the workflow steps. It doesn't actually un-publish the original version.

Any ideas?

Hi,

If I am getting the right meaning, you are using Publish from/to together with workflows?

If you are using workflow, and there is previous version published, this one is always displayed on the live site unless you destroy the version history for given document on the Properties tab.

I tried to destroy the version history, but it kept defaulting back to the very original document which had the wrong "publish from" field (a date that already had passed) and therefore was always published. The "archive" method worked for me.

In workflow,

"Archive" = "Not Published"

I didn't make the connection until I tried it.

Why doesn't the system respect the new "Publish from" date? We created a doc type that corresponds to job postings. Our user published a job that had a "Publish from" date that was before the current date and show it showed up on the site. Later, it was discovered that the job should not be posted until 2 weeks from now. The user updated the "Publish from" date on that document to 2 weeks in the future and republished it. The job posting, though, was still showing up because of the previous "Publish from" date. It was only after archiving the document and republishing it that it disappeared from the live site. I would argue that this is not a proper method and that it should be reported as a bug. Am I wrong in thinking this way?

Hi,

Since you are using workflow, the latest published version is always displayed - you have changed the Publish from field - and with this change you started new workflow cycle. If you do not want to display the previous version of the document, you need to push the document to "Archive" step.

Hi Juraj Ondrus,

I am using basic work flow. For example i have a role cms editor , the user with this role can edit the content but can not publish the document . the user with this role should submit the document for approval , then the admin will approve the document and can publish or reject the request of approval. but when i am creating the basic workflow the user with cms editor role can publish the document . could you please suggest me how i can remove the publish button for the cms editor role.

Hi,

You need to add a step between the edit a publish step apparently so the editor has somewhere to push the document in between. Please, see the documentation on how to add a custom workflow step.

and one more thing, please, use appropriate forum for submitting questions - this is for v4.x. It would be better even to open a new thread in appropriate forum for particular version. Thank you.
