These settings are available only if a workflow is defined for the current document.

 

Header section

 

The header of this tab contains buttons for moving the document back and forth in the workflow process. Which buttons are displayed depends on the workflow step that follows the current step. The following is a list of all buttons that you can encounter in the header section:

 

Approve

Approves the document and sends it to the following workflow step.

Reject

Rejects the document and sends it to the previous workflow step. If you have the Manage workflow permission, you can reject the workflow and move it into any of the steps in the process' history.

Publish

Publishes the document on the live site. If the workflow is in a step that has the Allows direct publish property enabled and you have the Manage workflow permission, you can move the process right into the Published step.

Archive

Archives the document. This means that it is no longer visible on the live site, but it is still present in the content tree and can be restored later when needed.

Check in

Checks the document in so that it can't be edited anymore. Checked in document can be submitted for approval.

Check out

Checks the document out so that it can be edited again. Checked out document can't be submitted for approval.

Undo checkout

Reverts the previous check out together with the changes made to the document during the check out.

Create new version

Creates new version of the document and moves it to the edit step. Available only when advanced workflow is defined for the document.

 

All these buttons enable you to add a comment to the action. You can do that by clicking the arrow icon next to the button and selecting the appropriate option in the context menu.

 

When you move the document to another step using the buttons, you can prevent the system from sending e-mails to users involved with the step. To do that, turn the Send notification e-mails checkbox off before you move the document to another step.

 

Workflow steps

 

This section depicts the workflow process that the document uses and the current step the document is in.

 

Workflow history

 

This list displays the current document's workflow step history, i.e. a list of all workflow step changes made throughout the document's life cycle.

 

In each row, you can click View View version to see what the document's data looked like when the step change was made.
